How do I reserve a meeting room?

Access/Activate Robin

To access Robin, go to https://go.umd.edu/book To activate your account, select ‘Continue with Google,’ and in the resulting pop-up, choose your @umd.edu account.

There are multiple methods you can use to reserve a meeting room:

Room Display
Mobile App
Web Dashboard

Room Display

If the room is available you may reserve it for up to 90 minutes via the display just outside the room's entrance. Simply tap on the desired amount of time you wish to use the room and the device will make a reservation for you.

Mobile App

The mobile app is great for checking meeting room availability, reserving a room, and checking in to your reservation. It also provides the following:

You will receive a notification close to the end of your reservation allowing you to quickly extend it if needed, if the resource is available.
If your meeting ends early you can also end the reservation to open up he room for others to use.

To reserve a resource, open the app and tap on Office. Select Martin Hall if it is not already selected. From the dropdown at the top of the screen you can select the building and floor where the resource you wish to reserve resides. From here you can visually see and tap on rooms or select the list icon at the top right of the screen to see all the resources available. Once you've selected a resource you can then Book now to reserve the resource immediately, or create a future reservation by tapping on **New event

How do I print to the main office?

General Information

The printer/copier/scanners are located in the ME Main Office Mailroom (088-2181). Both are the following make and model: HP PageWide Managed Color MFP E77650.

Access

If you are with the Department of Mechanical Engineering you should automatically have access to the printer. Simply slide your card through the scanner attached to the left hand side of the printer to log in. If it is the first time you are using the printer you may have to input your Directory ID and Password using the built-in pullout keyboard.

| The system will sign you out automatically within 30 seconds, but to be safe you may want to manually sign out by tapping Sign Out on the home screen.

Installation

Windows

For users with PCs that are not joined to the Campus Active Directory you will need to use the installer below. For those with PCs that are joined to the Campus Active Directory (you use your Directory ID and Password to log into the computer) the application and printer should already be installed – if it isn’t please make sure your computer is updated to the latest version of Windows 10/11 and you have restarted the computer before contacting IT Support.

How do I initiate a procurement request?

| Submit all forms to a procurement team member in the business office.

For Purchases Over $25,000

A purchase order will need to go through the UMD Procurement Office and is subject to the bidding process. Please keep this in mind when planning time frames for significant purchases.

If you feel the vendor you have selected meets the requirements for a sole-source justification, please complete the Sole Source Request Form and submit it along with the quotation and the purchase request. Please allow ample time for processing.

||| Procurement of single/sole source items/services exceeding $100,000 typically takes a minimum of 2-3 months to process, starting from the time a complete package including an approved purchase requisition and single/sole source justification documentation is received by Procurement.

How do I install Cisco Jabber?

Cisco Jabber is a "soft phone", meaning it has all or most of the functionality of your desk phone, without you actually being at your desk. With Jabber you can place and receive phone calls using your work number, as well as listen, forward, and delete your voicemail messages.

Installation

Download the respective app for your device:

Open the app, input your @umd.edu email address, and tap continue.
When prompted for your username and password input your Directory ID and Password.
Answer any authentication and notification settings your device prompts you for.

Download and Install Jabber

Cisco Jabber for Windows

The Jabber download is a ZIP file, you will need to right-click it and unzip it before installation.
Open the unzipped folder and run Setup to install the application.
Input your @umd.edu email address when prompted.
Authenticate via CAS using your Directory ID and Password.
Delete the ZIP file and folder that you created in step 1.

How do I request a new email address?

Accepted Answer

Depending on your use case there are three different types of email accounts you can request:

Google Shared Account

Useful if you want one email account that multiple @umd.edu accounts can access.
Does not work with @terpmail.umd.edu accounts or other Google accounts.
Does include a shared calendar.

Google Groups

A distribution list that is maintained by yourself or other managers in your group.
Allows you and other managers in your group to moderate emails.
People outside the University can be members.
Gives you control over who can and cannot post to the group.
Gives members control over how they want to receive emails (each, digest, etc.).

Engineering Listserv

A distribution list that is dynamically pulled from university records and updated nightly.
Essentially maintains itself.
Emails can be moderated.

Google Shared Account

Request

To request a Google Shared Account you will want to do the following:

Go here
If you are not already logged into the system you will be redirected to the CAS authentication page
You will be listed under Requested for and Shared Account Owner, feel free to leave them as-is or change them as needed
Enter the requested email address under Requested Shared Account Name
Enter the "From" name under Shared Account Purpose / Description

Where can I create a form or survey?

You have three options when needing to create a form:

Basic

The first option is to use Google Forms.

Google Forms is a tool that allows collecting information from users via a personalized survey or quiz. The information is then collected and automatically connected to a spreadsheet. The spreadsheet is populated with the survey and quiz responses.

Advanced

If the Google solution isn't sufficient for your needs you can use Qualtrics.

Qualtrics is a web-based survey tool available for use by all University of Maryland faculty, staff, and students to support teaching and research on campus.

Qualtrics allows you to create, test, and execute high-quality on-line surveys. It provides a wide range of question types and formats, different strategies for distributing and following up with targeted respondents, and a suite of analysis and reporting tools.

To get started, you will need to log in here with your Directory ID and password. Accounts will typically be created within 48 hours.
